Privacy Policy
Effective November 8, 2026
Cadenta POS ("Cadenta", "we", "us") is point-of-sale and booking software for salons, operated by Kaleb Harwell as a sole proprietorship in Texas, USA. This policy explains what information we handle, why, and the choices you have. It covers our website (cadentapos.com), the Cadenta POS app, salons' online booking pages on cadenta.app, and the appointment emails and text messages we send for salons.
Who this applies to
- Salon owners and staff who use Cadenta to run their business.
- Salon clients who book online, or whose appointments a salon records in Cadenta and who receive appointment emails or texts.
For client information, the salon decides what to collect and how to use it; we process it on the salon's behalf to provide the service. If you are a client and want to see, correct or delete your information, contact the salon, or email us and we will pass your request on and help.
Information we collect
- Account information: the salon owner's name, email address and password (stored only as a secure hash by our sign-in provider), and business details such as the salon's name, address, phone number and time zone.
- Business records: what a salon enters in Cadenta: products and services, staff and their hours, sales, tips, appointments, and client records (name, phone, email, notes and visit history). This is stored on the salon's own computer and synced to our cloud so it is backed up and shared between the salon's registers.
- Online bookings: the name, email address, mobile number and notes a client enters on a booking page, the appointment chosen, and whether they agreed to receive text reminders.
- Payments: card payments are processed by Stripe on the salon's own Stripe account. We never see or store full card numbers. We keep payment references, amounts and status so sales can be recorded and refunded.
- Messages: the email address or mobile number a message went to, what kind of message it was, and whether it was delivered, opted out of or failed.
- Technical information: basic logs from our servers and the app (such as error reports and the time a register last synced), and, on booking pages, your IP address in hashed form and a security check by Cloudflare Turnstile, used only to prevent abuse.
How we use information
- To provide Cadenta: process sales, keep calendars and records in sync, take online bookings, and send the booking confirmations, reminders and change notices the salon has switched on.
- To bill salon owners for their subscription.
- To keep the service secure, prevent spam and abuse, fix problems and support salons.
- To meet legal obligations.
We do not sell personal information, and we do not use salons' client information to market to anyone.
Text messages (SMS)
Salons using Cadenta can send appointment reminder texts to clients who agreed to receive them, either by ticking "Text me appointment reminders" on the salon's booking page or by telling the salon in person. Messages come from Cadenta's number and begin with the salon's name. Expect one reminder per appointment. Message and data rates may apply. Reply STOP to stop receiving texts and HELP for help, or contact hello@cadentapos.com.
We do not share mobile numbers or text-message consent with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third party, except the providers that deliver the messages for us (see below).
Who we share information with
Only with service providers that help us run Cadenta, under agreements that limit their use of it:
- Supabase: database, sign-in and cloud functions (hosted in the United States).
- Stripe: card payments (on each salon's own account) and subscription billing.
- Twilio: delivering text messages.
- Resend: delivering emails.
- Cloudflare: hosting our websites and booking pages, and spam protection.
- GitHub: delivering app downloads and updates.
We may also disclose information if required by law, or to protect the rights, property or safety of Cadenta, salons or the public.
How long we keep it
We keep a salon's records for as long as it has an account, so its history stays available. When a salon closes its account, we delete or anonymize its cloud data within 90 days, except what we must keep for legal, tax or accounting reasons. Copies on the salon's own computers are under the salon's control. Message delivery records are kept for up to two years.
Security
Data is encrypted in transit, cloud access is limited by strict permissions so one salon can never see another's records, and each register has its own key. No system is perfectly secure, but we work to protect your information and will tell affected salons promptly if a breach affects their data.
Your choices
- Stop text messages any time by replying STOP. Booking emails can be stopped by asking the salon.
- Salon owners can export all of their data from the app at any time and close their account by contacting us.
- You may ask us to access, correct or delete personal information we hold about you by emailing hello@cadentapos.com. We will respond within 30 days.
Children
Cadenta is not directed to children under 13, and we do not knowingly collect their information.
Changes
We will post any changes here with a new effective date, and tell salon owners by email about significant changes.
